NORTHBROOK ATHLETIC CLUB ANNUAL GENERAL MEETING

held on 27th January 2010 at Jaguar Sports and Social Club, Browns Lane, Coventry

  3. Matters From Last Meeting – Last year’s minutes accepted (Proposed: Bob Adams, Seconded: Tony French).
  4. Chairman’s Report – Bob Adams - Thank you to everyone who has attended.  It was another eventful year for the club. The ladies' team won the Nuneaton 10 mile race, the Coombe Abbey multi-terrain race and the Warks Road Race League. The men's team were 2nd in the Warks Road Race League, and finished 7th in the Birmingham XC League Division 2. We hosted the 10Km race and the new Allesley 5Km race. The structured training sessions are now very well supported, and the social events are very popular. The new website is also great for the club. Thanks to the committee, and anyone who helped through the year.
  5. Treasurers Report – Paul Stead circulated a report. The balance has increased. We are purchasing a trailer and radio equipment for use in 10Km race. Paul Stead recommended that subscription fees are unchanged:

    Renewals £17 (concession/2nd claim £10), New Members £25 (includes vest).

    1. Helpers at 10Km Race: Proposer: Tony Hoy, Seconder: Malc Boileau

      Background: The Northbrook 10Km Road Race and Fun Run has been held now for 7 years and is firmly established in the local race calendar attracting over 500 entrants and raising £1500 for charity in the last two events. It also generates around £1000 for club funds (with continued generous sponsorship). Part of the attraction of this race is the closed road, one lap, undulating course. Outside of major cities this is fairly unique. In order to stage the event the Club via the Race Committee have to apply for and pay for a Road closure Order. As part of this process the race organisation and marshalling is risk assessed by the Council and Police. This leaves us with a level of marshalling and officials that we are committed to in order to run the race. Last year the total number was ... 50.

      Problem: Last year, in spite of numerous appeals well in advance of the June 1st race we were desperately short of declared marshals one week before the race, so much so that cancelling the race was a very real possibility. Thanks to the last minute efforts of Malc phoning family, mates and ex-mates, and people turning out on a nice sunny day, unexpectedly, we salvaged it. Clearly we can't continue like this.

      Proposal: Each 10Km Race entry from a Northbrook member must be accompanied by a name of a marshal or helper. The names must be unique - no duplication. Names must be real and of responsible adults, but not necessarily runners. Names can be substituted after initial declaration.

      Amendment: Proposer: Cath Fenn, Seconder: Alix Critchley – Any member who marshals at another club race, can run in the 10Km race without supplying a replacement helper or marshal.

      Main Proposal with Amendment: Accepted (39 For, 0 Against)

      Comment: For the 2010 10Km race, we start with a clean slate. ie. the other club races mentioned in the amendment will not be considered until after the 2010 10Km race, so they will be relevant to the 2011 10Km race. The 10Km sub-committee stated that the overriding concern was that we supply enough marshals and helpers to make the 10Km races viable in future.
