Northbrook Athletic Club respects your privacy and will use any personal information only to administer a membership account or to provide a requested product or service.
We have published this Privacy Policy to help you understand how we collect, use and protect your information when you visit our websites, when you enter an event organised by Northbrook AC and when you generally use our products and services.
You can visit our websites without disclosing any personally identifiable information about yourself, although we may use cookies and collect other non-personally identifiable information about your browsing activity – see our cookie policy.

Personal information collection
We collect personal information from our Membership Application and Membership Renewal forms, from our website contact forms, from our race event entry forms and from third parties who handle entries to our race events on our behalf. We collect and use your personal information only with your knowledge and consent and typically when you apply for or renew club membership, order products, enquire about membership or club activities, enter club races and events or when you respond to communications from us (such as questionnaires or surveys).
The personal information we collect for club membership includes your name, postal address, date of birth, telephone number and email address.
If you choose to provide us with other personal information it will be used in support of the intended purposes stated at the time at which it was collected, and subject to any preferences indicated by you.
Non-personal identifying information
We may also collect non-personally identifying information about your visit to our websites based on your browsing activities. This information may include the pages you browse and products and services viewed. This helps us to better manage and develop our sites, and to provide a more convenient future browsing experience.
From time to time, if you consented accordingly we may also store and use your email contact information to inform you about club news and/or activities.
How we will we use your information
Personal information you provide on our Membership Application or Membership Renewal forms will be held by Northbrook Athletic Club for the purposes of club membership management, club competition rankings and club communications.
Personal information you provide on our contact forms or on email messages or other communications sent to us will be held by Northbrook Athletic Club for the purposes of the subject of the communication.
If you have consented to receive occasional communications from us about club news and/or activities you can request to have your contact details removed from our mailing lists at any time. You can also contact us at any time to request that your personal information be updated or to tell us how you would like to receive information from us.
Disclosure of your information to other parties
If you are a Northbrook Athletic Club first-claim club member, your name, address, telephone number and date of birth will be provided to England Athletics for competition registration and insurance purposes. This is a requirement to be considered as an England Athletics Affiliated Club Athlete with the associated benefits.
If you are a first-claim club member registered with England Athletics and you choose to take part in a running event organised by Northbrook AC that is part of a league series, your name, URN and age category (calculated from your date of birth) will be provided to the organisers of that league.
If you take part in a competition as a member of a Northbrook AC team your name and in some circumstances your age category (calculated from your date of birth) will be provided to the organisers of that event for results calculation and presentation purposes.
Northbrook Athletic Club does not sell personal information to third parties, neither does it pass personal information to third parties (other than as set out in the paragraphs above) unless it is necessary for the administration of one or more of our mailing lists to which you have consented to subscribe. You may unsubscribe from any or all of our mailing lists at any time.
Your name, age category, finishing position and finishing time for any race that you enter as affiliated to Northbrook AC, or as a member of a Northbrook AC team or as a participant in an event organised by Northbrook AC may be published on the results pages of our websites and/or on the websites of the race organisers. Your image may also be published alongside such results.
Northbrook Athletic Club may be obliged to disclose your personal information to meet any legal or regulatory requirements, for example to comply with a court order.
Social media, blogs, reviews
Any social media posts or comments you submit to us, for example on the Northbrook AC or Northbrook 10k Facebook pages, will be shared under the terms of the relevant social media platform (e.g. Facebook/Twitter) on which they are written and could be made public.
Northbrook AC does not control these platforms and we are not responsible for this kind of sharing. We recommend that you review the terms and conditions and privacy policies of the social media platforms you use to understand how they will use your information, what information relating to you they will place in the public domain, and how you can stop them from doing so if you are unhappy about it.
Any blog, review or other posts or comments you make about us, our products and member services on any of our blogs, reviews or user community services will be shared with all other members of that service and the public at large. Any comments you make on these services and on social media in general must be not offensive, insulting or defamatory. You are responsible for ensuring that any comments you make comply with any relevant policy on acceptable use of those services.
Right of erasure
We hold your personal information only for as long as we actually need it for the purposes for which we acquired it in the first place. In most cases, this means we will keep your information for as long as you continue to be a member, and for a reasonable period of time afterwards if you cease to be a member to see if we can persuade you to come back to us. After that we will delete it other than where we lawfully can or are obliged to keep any data for audit or legal reasons.
Non-member personal information you provide on our contact forms or on email messages or other communications sent to us will be held for a reasonable period of time after receipt in case we need to follow up the initial communication, subject to your right have the information erased.
Your personal information (eg name, age category, finishing position and time) that has been posted to the results pages of our websites will remain unless you request that it be removed.
We will keep data on our event database for not longer than 3 years from receipt subject to your right to unsubscribe or for your data to be erased at any time.

Please state your name, postal address and email address so that we may take the steps necessary to confirm your identity before providing you with details of any personal information we may hold about you.
If you wish to have any historic personal informal removed from our website pages please give details of the page(s) showing that information.
